Standardize Your Way to Success
In the world of tax preparation, consistency is king. By building standardized processes for repeating activities, you’re essentially creating a productivity superhighway. Think about it – how much mental energy do you expend each time you start a new tax return, trying to remember all the steps? Or using the copier to copy double sided and remove blank pages. By developing and documenting (on paper or video) standard procedures, you free up that mental bandwidth for more complex problem-solving. Plus, standardization makes it easier to train new team members and ensures quality across the board. It’s the secret sauce that allows you to scale your practice without sacrificing excellence. You cannot scale your practice effectively without this step
The Art of Saying No
In a service-oriented profession, it’s tempting to say yes to every request that comes your way. But here’s the truth bomb – every yes to a non-essential commitment is a no to something that truly matters. Learning to say no is not just about time management; it’s about energy management. By carefully curating your commitments, you ensure that your finite resources are directed towards high-impact activities. Remember, you’re not just saying no to a task; you’re saying yes to your priorities and your sanity. This could be saying NO to work you don’t want to do, say foreign income or trusts and estates. If you don’t know these well enough, you need to take time to read and learn about these. Say NO to that new non-profit client that wants you on their board, and then they make you Treasurer/bookkeeper. Oh! and they expect you to do it for FREE!
Set Realistic Deadlines and Communicate Clearly
Deadlines can be your best friend or your worst enemy. The key lies in setting realistic timeframes and communicating them clearly to your clients. This practice does more than just manage expectations – it creates a rhythm for your work and helps prevent the dreaded last-minute rush. When clients understand your process and timelines, they’re more likely to provide information promptly and respect your boundaries. It’s a win-win that leads to smoother workflows and happier clients. Over a decade ago, I established the last Friday in March (later changed to the third Friday in March) as the deadline for clients to bring me their tax stuff for us to get their return done on or before April 15th. If it wasn’t in by then, it went on extension. Not it MAY go on extension, it WILL go on extension. One client tested me on this and decided to pickup his tax stuff on 4/14 to take it to someone else. It did not hurt my feelings and I was much better off for that anyway.

You eventually should mandate that all clients must upload info to your secure portal. This will greatly reduce the paper and files in your office. Of course you can give an exception to that sweet little old lady client who can barely work a TV or toaster than their computer.
Invest in Your Greatest Asset: Your Knowledge
The tax landscape is ever-changing, and staying ahead of the curve is non-negotiable. But here’s the twist – continuous learning isn’t just about compliance; it’s a productivity booster in disguise. By investing time in updating your knowledge of tax laws and technology, you’re actually saving time in the long run. You’ll work more efficiently, make fewer errors, and position yourself as a go-to expert in your field. It’s the compound interest of professional development – small, consistent investments that yield significant returns over time. Don’t forget that you should also invest time in soft skill classes. Sales, Marketing, Practice Managment, Negotiations, Billing, Collections, etc.
Mindfulness: Your Secret Weapon for Focus
In a world of constant distractions, the ability to focus is a superpower. Enter mindfulness and meditation – practices that train your brain to stay present and focused. By incorporating even short mindfulness sessions into your day, you can improve your concentration, reduce stress, and enhance decision-making skills. It’s like hitting the reset button for your brain, allowing you to approach each task with renewed clarity and energy. Remember, a focused mind is a productive mind. Set a timer to handle the focus time. If you use the Pomodoro technique, set the timer for 25 minutes, then rest for 5, then set it for another 25 minutes, one more rest for 5 then one last for 25, then a 15 minute break. This focus time can allow you to work on that big marketing project, setup a new software, or work on that big tax return that has been dogging you for weeks. Oh! Please do your best to keep the door closed to your office, don’t answer the phone, and for Pete’s sake, keep the email closed. This will allow for better focus on these projects.
Voice-to-Text: Speak Your Way to Efficiency
Time is quite literally money in the tax profession, and every second counts. Voice-to-text technology is like having a personal stenographer at your beck and call. It is gone forever. I know you love doing tax returns and helping people, but I am sure you do enjoy time with your family, doing your favorite hobbies and activities, and time to plan for your future.
